Paul Trudgian Ltd have been engaged to source a 3PL partner in the UK, by one of the market leaders in sustainable domestic heating products, servicing customers in the RMI sector (Renovation, Maintenance, Improvement) and the new housing market. The company is a dominant provider in Northern Europe and has been a public listed entity since 1997. The company is seeking the provision of warehouse and transport services, contracted to a single 3PL provider, to service their UK market. The contract will be on a 3-year closed book basis.

Overview of Requirement

The company’s product portfolio is comprised of two main elements – equipment and spares.

The equipment, which is predominantly comprised of heat pumps, boilers and cylinders will be received by the selected 3PL on weekly palletised loads, on curtain sided vehicles, from Sweden, Norway and Poland. Load notification will be provided on Wednesdays with planned receipts on Mondays. The spares, which are predominantly small parts, will also be received on palletised loads each week on the same vehicles that deliver equipment.

Equipment orders are placed by installers, according to their work schedule, and the orders will be transferred, preferably via EDI, from the company’s order management system to the 3PL by 17:00 on Day 1. Deliveries are then scheduled, typically to domestic addresses, on day 3 or day 5 (for outlying areas), or according to the installer’s specified date. Due to the nature of delivery locations, the delivery fleet will need to be 18t or less and equipped with tail lifts and pump trucks. There will be in the region of 2,000 equipment deliveries per annum (UK-wide) and the typical drop-time per delivery is 15 minutes. It should be noted that there is no requirement for 2-man deliveries.

Orders for spares are placed by the installer on day 1 (17:00 cut-off) for delivery, typically, on a day 2 basis. The orders for spares will be passed to the 3PL in the same method as equipment orders and will need to be item picked from suitable storage media. There will be approximately 4,000 spares orders picked and despatched per annum. Please note that the delivery of spares is currently undertaken through a network provider who will remain in place and consequently spares deliveries are not in the scope of this tender.
